Kordiam offers you the possibility to be notified about story updates via email, Slack or even both ways in parallel.
You can customize this on the "My Settings" page in the "Notifications" section.
Select No notifications if you do not want automated notifications. All the following options will then be hidden.
Note: This does not mean that you cannot be notified at all. If you are assigned to a task and someone wants to inform you about an update, they have to manually check the "Inform user" box beneath your name in the Story Card. Only your colleagues see this box, not you.
Select Yes, send me notifications if you want to be informed about updates.
Cases
With the following options you first define when you want to be notified.
-
If I am the assignee: You generally want to be notified about new tasks and updates. The "Inform user" box beneath your name is checked by default. You will not receive a notification every time someone saves, but only for updates that pass your trigger settings.
- Only for changes to my tasks, not for other updates to the story: Not every update to a story has a direct impact on your tasks. This option is intended to limit your notifications to updates that affect your own assignment — for example the deadline of your task — rather than every change made anywhere on the story. Please see the note at the end of this article.
- If I am the one who entered the story: You create stories, but are usually not assigned to them as author, photographer or similar, and still want to stay up to date? This option is the right one for you.
- In case I edited the story: Once you have made a change to a story, you will be notified about future updates for that story.
If you select more than one case, they add up: a notification is sent as soon as one of them applies.
You will find the "Inform user" box beneath the names of the people who have a task on the story. It is not displayed beneath your own name.
If the box is unchecked before saving, the notification you would have received as the assignee is dropped. If you created or edited the story yourself and have the matching case activated, you still receive the notification. Unchecking the box therefore only affects the "If I am the assignee" case.
Trigger actions
After the "when" now follows the "about what". You can be very specific about which updates you want to be notified about. There are three options to choose from. You can activate them all, in which case you will receive the most notifications. But you can also deactivate up to two of them. At least one option always has to remain active.
- New story or assignment: Get notified when there are new stories or the first task of a story.
- Changes made to a story or an assignment: Choose whether you want to be notified about all changes to a story or a task, or only about changes to specific fields such as story status, slug, or platform/category. Use the "Triggers" drop-down beneath this option to make that selection.
- Removal of a story or assignment: You will receive a notification as soon as a story or assignment has been removed. This also applies when your task is deleted or assigned to someone else. In both cases the task no longer applies to you, and you are informed about it.
The "Triggers" selection is the strictest filter in the whole section: if a field is not part of your selection, a change to that field will not produce an email, regardless of who saved it. See Why didn't I receive a notification? for the details.
Options
- Please do not inform me if I made the changes myself: You don't want to be informed about the changes you have entered yourself? Then put the checkmark here. But please note: if you add your Kordiam events into your electronic calendar via calendar invitation, you will also not receive a new calendar invitation by email. Users of our webcal calendar feed will always see the latest stories in their calendars.
And don't forget to save your notification settings by clicking the "Save" button after changing them.
Please note that the "Ask for confirmation" box in the Story Card is not covered by these settings. The request is always sent when the box is checked. See Why didn't I receive a notification? for details.
Note on "Only for changes to my tasks, not for other updates to the story"
This option does not currently limit your notifications to your own tasks in all situations. Depending on your "Triggers" selection, you may also receive notifications about updates that concern other people's tasks on the same story, or about new tasks that were assigned to someone else.
If you want to keep the number of notifications low, we currently recommend working with the "Triggers" selection instead and limiting it to the fields that matter to you.
We are working on this option. This article will be updated as soon as the behaviour changes.
