There are three distinct status levels in Kordiam:
All these statuses can be edited by admins on the Statuses page. They can also be turned on or off completely.
Story Status
What is the Story Status?
The story status is a status for an entire story (or event), no matter how many tasks or publication platforms there are assigned to the story.
What to Use the Story Status for?
As this status can be adapted according to your needs it is completely up to you to define what you want to use it for.
However, we have implemented this status with the following primary use-cases in mind:
- Decision-making
- Priority-setting
Decision-making
You may want to use the status to move stories through a workflow in which the story is entered as a pitch and then either accepted or rejected. This workflow is reflected in the default story statuses that you will see once the story status is activated.
You can adapt this workflow and the status levels according to your needs by removing existing statuses, adding new ones and changing the order of the statuses.
Priority-setting
You may want communicate the priority, importance or urgency of a story with the story status.
Example: In larger organisations that publish many stories it may make sense to mark the most important stories with a specific status. That would allow users to filter for those most important stories.
Where do I see the Story Status?
You see the story status primarily in two places:
- As a vertical colored bar in lists
- On the detailed entry form as a vertical colored bar and a button of the same color
Information about the story status is also included in multiple other places across the application and in the notification emails sent out by Kordiam.
Where do I edit the Story Status?
You can edit this status in the Admin section on the Statuses page. You need to have admin rights to access this page.
Please note that you can also turn this status completely on or off. If your Kordiam account has been set up before June 2019 the story status will be turned off by default and you need to activate it on the Statuses page before using it.
Publication Status
What is the Publication Status?
The publication status is a status per platform that has been assigned to a story.
If a story features multiple publication platforms it may have different publication statuses across those platforms.
Example: A story may have the status Published online whereas it is still in the status Accpeted or Edited for the printed magazine.
What to Use the Publication Status for?
This status can be adapted according to your needs. Therefore you are free to define those publication statuses that you need for your business.
We have implemented the publication status with the following use-cases in mind, though:
- Platform-specific decision-making
- Production/publication processes
Platform-specific decision-making
While we believe that it makes sense to use the story status for decision-making (see above) there is a use-case for delegating this to the publication status level: Working on a story may have been given the green light, but it may not be clear immediately on what platforms it may will be published.
Example: A story pitch may have been accepted and it will definitely be published on the website. The story may then be assigned to a weekly newsletter or monthly magazine as a Proposal. The team working on those platforms can then decide if that story should go into their platforms too.
Production/publication processes
You may want to use this publication status to reflect the production and publication workflow with the most obvious such status level being Published.
Please note that the publication status can be set automatically by external systems such as a content management system. A typical scenario is where the CMS sets the publication status to Published.
Where do I see the Publication Status?
You see the publication status as a colored square in lists and in other places. If the status "No status" is selected there is no square visible in lists.
Information about the publication status is also included in multiple other places across the application and in the notification emails sent out by Kordiam.

You can edit this status in the Admin section on the Statuses page. You need to have admin rights to access this page.
Please note that you can also turn this status completely on or off. If your Kordiam account has been set up after May 2019 the story status will be turned off by default and you need to activate on the Statuses page before using it.
How to Manage Publication Statuses per Platform
You will probably not use every publication status for each of your platforms. On the publication status page in the admin section you can select the relevant statuses for each platform separately by clicking on a status and choosing all relevant platforms.
You can also enter selections per platform on the Settings > Platforms page. Klick on the desired platform to open the settings.
The lowest selected status in the list is the default publication status, which is the status that is set directly when adding a publication platform to a story. You can change the default status with the option below "Publication Statuses".
Please note that these changes to the status levels can only be done by admins. In case you do not have admin rights please contact your in-house admin.
Task Status
What is the Task Status?
Task statuses indicate the different stages a task goes through in a workflow, such as "Requested > Received > Approved." You can define and customize these statuses on the Status admin page, and make further adjustments on the Tasks admin page.
Where do I see the Task Status?
For all statuses other than "Requested," a small symbol next to the task icon indicates the task's current status on most pages in Kordiam:
On the new Tasks page, the Task Status can be displayed and edited in the separate column "Task status":
The status will also be displayed, when clicking on a task icon. The Task Status that is currently selected will appear greyed out.
As with other changes, the Task Status will be reflected in the updates history, the activity stream and, in specific cases, communicated via the notification email.
Where do I set the Task Status?
If you add a new task to a story, it will be set to the status "Requested" by default. The default status however can be changed on the settings Tasks page.
You can easily update a task's status by clicking on its icon. On most Kordiam pages, a layer containing the available statuses will appear, allowing you to select the appropriate one.
When you click a task icon on the Story List and Tasks page, a widget appears that allows you to change the status of the task using a dropdown selection:
Where do I edit the Task Status?
Task statuses can be created, edited and deactivated just like the other Statuses on the Status page in the admin settings, as will be described in the following section below. One difference is, that you can also assign Task Statuses to specific tasks:
In this example the status "Blocked" only applies to the custom tasks "Text Web" and "Text Social".
In addition, on the Tasks settings page, you can define for each individual task which status should be used as the default.
Editing Status Levels
How to add a new status level:
- Go to the page Settings > Statuses
- Select the tab for Story Status, Task Status or Publication Status
- Click on "+ Status"
- Enter a status label
- Choose a color (Story Status) or an icon (Task Status and Publication Status)
- Make a choice: Should the new status be the "standard status" (Story Status)? For which platforms is the new status relevant (Publication Status)? Which tasks should have which status (task status)?
- Hit "Save"
How to deactivate a status level:
- Hover over the status you would like to deactivate
- Select "Deactivate"
You can reactivate a deactivated status level at any time if you decide to use it again.
Click on "Hidden/de-activated statuses" to see a list of all deactivated statuses.
How to rearrange the list of status levels:
You can rearrange the list via drag & drop.
The order of the list of the status levels influences the sorting of the story lists.
